Transaction Coordinator

The Transaction Coordinator will oversee and facilitate the acquisition and disposition of retail properties, ensuring all contracts, timelines, and documentation are executed efficiently.

This individual will work closely with the acquisitions team, brokers, attorneys, lenders, and investors to drive deals from LOI to closing.

Key Responsibilities

  • Transaction Management:
    • Coordinate and track real estate transactions from LOI to closing
    • Ensure all contract terms, key dates, and contingencies are met
    • Maintain organized records of escrow, title, financing, and closing documents
    • Manage deadlines for due diligence, financing, and closing deliverables
    • Serve as the point of contact between internal teams, brokers, attorneys, and title companies
  • Due Diligence Coordination:
    • Order and review title reports, surveys, environmental assessments, and third-party reports
    • Assist in preparing due diligence packages for acquisitions and dispositions
    • Work with legal counsel to review and track compliance requirements
    • Maintain a checklist of all required documents and approvals before closing
  • Escrow & Closing Process:
    • Ensure all closing conditions and funding requirements are met
    • Prepare and distribute settlement statements and closing binders
    • Work with lenders to coordinate wire transfers and funding approvals
    • Verify final prorations, closing costs, and investor distributions post-closing
  • Communication & Reporting:
    • Provide weekly transaction status updates to leadership
    • Track and report key deal metrics, timelines, and potential roadblocks
    • Keep all stakeholders informed of critical dates and action items

Qualifications & Experience

  • 3+ years of experience in commercial real estate transactions, escrow, or closing coordination
  • Strong knowledge of real estate contracts, title & escrow processes, and due diligence requirements
  • Experience working with brokers, attorneys, lenders, and investors
  • Excellent organizational skills and attention to detail
  • Ability to manage multiple transactions simultaneously
  • Proficiency in CRM systems (HubSpot), transaction management software, and Excel
  • Strong written and verbal communication skills
